Job Summary: We are seeking a detail-oriented and versatile Front Desk/Back Office Coordinator to join our team. This hybrid role involves managing both front desk responsibilities and assisting with back-office tasks to ensure the smooth operation of the clinic. The ideal candidate will be organized, customer-focused, and able to multitask effectively in a fast-paced healthcare environment.

Key Responsibilities

Front Desk Duties:

  • Greet and check-in patients with a friendly and professional demeanor.
  • Verify and update patient information, including demographics and insurance details.
  • Schedule patient appointments and manage the clinic’s appointment calendar.
  • Handle patient inquiries and provide information about services, policies, and procedures.
  • Process patient payments, including co-pays and outstanding balances.
  • Manage phone calls, emails, and correspondence in a timely and courteous manner.
  • Ensure that the front desk area is clean, organized, and stocked with necessary supplies.

Back Office Duties:

  • Assist with patient preparation for exams and procedures, including taking vital signs and medical histories.
  • Perform basic clinical tasks such as drawing blood, administering injections, and assisting with minor procedures.
  • Prepare and maintain patient charts and records, ensuring accuracy and confidentiality.
  • Manage inventory of medical supplies and equipment, including ordering and restocking as needed.
  • Support medical staff by coordinating patient flow and providing assistance during exams and procedures.
  • Assist with filing and retrieving medical records, as well as handling lab results and other documentation.

Administrative Support:

  • Maintain accurate and up-to-date electronic health records (EHR) and other documentation.
  • Assist with data entry and reporting for quality improvement and compliance purposes.
  • Collaborate with other team members to ensure efficient clinic operations and patient care.
  • Participate in staff meetings and training sessions as required.

Qualifications:

  • High school diploma or equivalent; completion of medical office or administrative training preferred.
  • Previous experience in a medical office or healthcare setting is a plus.
  • Basic knowledge of medical terminology, procedures, and healthcare regulations.
  • Proficiency in using electronic health record (EHR) systems and office software.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills, with a patient-centered approach.
  • Ability to handle multiple tasks simultaneously and work effectively under pressure.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Physical Requirements:

  • Ability to stand or sit for extended periods and perform tasks requiring manual dexterity.
  • Ability to lift and move office supplies and equipment as needed.
