TMS Coordinator
The TMS Coordinator’s main role is to speak with patients and families regarding enrollment for TMS treatment for major depressive disorder, obsessive-compulsive disorder, and other behavioral diagnoses. You will answer questions regarding TMS procedures and ensure schedules are optimized and staff resources are used efficiently. To provide an exceptional and seamless experience for our patients, you will confirm all forms/paperwork are complete, verify benefit eligibility, secure prior authorizations and handle appeals (if necessary), to ensure insurance coverage before treatment. Until patient demand requires hiring another TMS tech, you will also administer TMS treatments under the supervision of a psychiatrist utilizing our NeuroStar TMS. This aspect of your role will slowly diminish and eventually require you to fill in for breaks and vacancies.
Other Responsibilities include, but not limited to:
• Assists in observation, planning, intervention, and evaluation of care to patients pursuant to the policies and procedures of The Remedy.
• Conduct initial consultation with patients to educate on TMS therapy.
• Provides care in a non-judgmental, non-discriminatory manner that is sensitive to the patient's developmental age, mental health challenges and to the patient's and family's diversity, preserving their autonomy, dignity and rights.
• Establishes therapeutic relationships & Maintains confidentiality in matters related to patients and families.
• Keeps up to date with clinic procedures to explain treatments in common language to patients.
• Using strong communication skills; provide support, reflective listening, and compassion to patients struggling with depression or other various disorders
• Verifies and completes necessary information for registration, and referral management processes.
• Validates insurance coverage, secures Prior Authorizations and handles appeals if necessary.
• Investigate and communicate insurance coverage and verification issues.
• Resolves problems regarding exam orders and maintains/coordinates medical information and records.
• Schedule, maintain and adjust patient appointments relative to all services offered by The Remedy that encompass patient treatment.
• Maintain and manage patient wait list.
• Administer psychiatric rating scales and document outcomes.
• Manages medical records after completion of TMS treatments, including scanning relevant information into the EMR.
• Conduct chart review. Accurately enter all patient information required into the system and record session notes and superbill by end of the day.
• Responsible for creating a clean therapeutic and healing environment that provides the best care and the best patient experience.
• Keeps the exam rooms organized by notifying the correct individual when supplies are low and stocks the supplies.
• Administer TMS treatment according to specific psychiatrist protocols: Set up the NS TMS medical device and monitor all aspects of the treatment sessions for patient comfort and treatment accuracy.
• Maintain patient safety by wearing personal protective equipment as required.
• Provide excellent patient care and treat them with compassion while developing trust and rapport.
• Troubleshoot and resolve issues with patient comfort, coil contact, and TMS system set-up throughout treatment.
• Possess basic clinical assessment skills to identify real or potential adverse events during treatment where treatment should be interrupted or terminated.
• Communicate patient concerns to the PsyNP or Psychiatrist when necessary.
• Follows company policies and procedures as well as adhering to state and/or federal regulations.
• Perform additional duties as needed to support the clinic, up to and including the willingness to be flexible by possibly traveling to other facilities.
• Will train on NS TMS-Transcranial Magnetic Stimulation.
